Privacy & Data Notice

This explains what we collect when you register, how we use it, who can see it, and how long we keep it. In short: only what we need to run the camp, seen only by the organisers and your coordinator, and deleted within a month of the camp ending. The separate post-camp feedback form is anonymous and is covered further down.

01Who collects your data

PIWC Youth Ministry (organisers of Dunamis Youth Camp 2026) collects the information you submit through the registration form, in order to plan and run the camp at Pentecost Convention Centre (PCC).

02What we collect

Your name, gender, age group, email, phone number, district, any dietary or medical/accessibility needs you choose to share, and an emergency contact name and phone number. Medical and accessibility details are optional and used only to keep you safe and cared for during camp.

03How we use it

To confirm your place, communicate camp details, arrange travel, accommodation and catering, handle payment and your camp pass, and respond in an emergency. We do not sell your data or use it for advertising.

04Who can see it

Only the camp organisers and your district's coordinator(s) — the people running the camp. Registration data is stored in a private, access-controlled spreadsheet; per-district coordinators see only their own district.

05How long we keep it

We keep your registration details only until up to one month after the camp ends, then delete them. For the 2026 camp that means your registration details are deleted by September 9, 2026. We keep no other personal information beyond what is needed to run this camp. (Anonymous feedback responses are kept longer — see below — but they carry nothing that identifies you.)

06Camp feedback is different — and anonymous

The post-camp feedback form is separate from registration. We don't record who submitted a response — no name, no email, no camper ID, nothing that links an answer back to you. Because those responses aren't personal data, they are kept indefinitely rather than deleted with the registration details above: it lets the planning committee compare future camps against this one. The self-reported age group and district you may give on that form are used only to group answers (for example “how did first-timers rate accommodation?”), never to identify anyone.

07Consent — and minors

By submitting the form you confirm you are the camper (18 or older) or the parent/guardian registering on behalf of a camper under 18, and that you consent to the use of this information as described here. We record that consent (with the date and the version of this notice) alongside the registration.

08Your choices

You can ask us to see, correct, or delete your information at any time — just contact your district coordinator or email dunamisyouthcamp@gmail.com.
